Event Coordinator Job Description
The Event Coordinator will:
1. Be responsible for all adult curling events put on by the PEICA, and other events as required. Note that the Junior Coordinator is responsible for age 20 and under events.
2. With the agreement of the Board of Directors, prepare a preliminary draft of a schedule of Provincial events prior to the upcoming season, based on lead-time requirements for National and Regional events
3. Prepare a detailed budget for each event
4. Meet with event sponsors early in the curling season to confirm their continued support
5. Meet with host club coordinators in advance of each event to ensure all aspects of an event are provided for adequately. Inform coordinators of PEICA policies regarding hosting rules, policies and budgets;
6. Develop a checklist for each event, and ensure that all items are covered off, either by event coordinator, host coordinator, or other persons. Items may include draw board, trophies, banners, scoring sheets, time clocks and other PEICA equipment, banquets and ceremonies, piper, media advisories, etc.
7. Consult with head official, technical coordinator, and host coordinator to ensure that certified officials, including timekeepers, as required are available for all events;
8. Conduct event draw, at host club if possible. Update website with information and email to news media.
9. Promote events using signs at clubs, website News system, website page for specific event, news media, advertising if necessary, sponsorship tie-ins etc.
10. Draft the draws and schedules for all events, based on team rosters received from Executive Director, and ice availability as coordinated with the host club Event Coordinator. Reviews draw for errors, and updates website as soon as possible with draw and schedule info.
11. Publish opening draw information in advance of the event and event results both during and at the conclusion of event to event website, website news system, and news media.
12. Take event photos, post them to website and send to media.
13. In cooperation with the Head Official, ensure that the website is updated with results after each end of play, or as otherwise agreed to, and that scoresheets are completed and faxed to media as applicable.
14. Assist at opening and closing event ceremonies and banquets when required. Attend or assign PEICA Executive members to attend opening and closing ceremonies. Organizes ceremonies with help from host coordinator and volunteers.
15. Ensure that events runs smoothly, and resolve problems in an efficient and timely matter. Issues that may arise include storm delays, ice and other venue problems.
16. Convey any changes in an event, including schedule (storm delays, etc.) to Executive, website, media and curlers as soon as changes are known.
17. Liase with sponsors on an ongoing basis to ensure their continued support. Invite sponsors to events, and ensure that their sponsorship is included in media releases, and that their product and signage is on display or in use at events.
18. Take direction from PEICA Board of Directors and Executive Director.
19. Recommend new events and changes to existing events to ensure that events are successful and in keeping with current trends and needs.
20. Assist with marketing of all events, media liason, obtaining and keeping sponsors.
21. Provide a written report and/or attend PEICA meetings and committee meetings as required.
22. Review all invoices and accounts to all funds pertaining to an event
23. Prepare event wrapup reports including budget, lessons learned and suggestions for improvement.
24. Perform other duties as required
